Overview

This guide combines general office administration with specific follow-up protocols. As the central hub of the practice, the MA manages correspondence, inventory, and the tools used to track future tasks.


1. Managing Office Correspondence

Mail Services

  • First-Class: Standard letters.
  • Priority: 1-3 days, tracking.
  • Express: Fastest (Overnight), guaranteed.
  • Certified: Provides legal proof of delivery (signature required). Used for dismissal letters.
  • Return Receipt Requested: An additional service (often added to Certified Mail) where the sender gets a signed receipt returned to them as proof that the item was delivered. (Think: You want the signature Returned to you).
  • Registered: Highest security (valuables).

Handling Incoming Mail

  • Annotating: The process of highlighting key points or writing reminders in the margins of a letter. This helps the provider quickly identify the most critical information.
  • Unknown Recipient: If you cannot determine who mail belongs to, do not open it. Escalate to the Office Manager.

2. Inventory and Supply Management

  • Expendable Supplies: Used up frequently (gauze, gloves, paper).
  • Capital Purchases: Major, long-term investments (Computers, Exam Tables).
  • Key Documents:
    • Purchase Order (PO): Used to place the order.
    • Packing Slip: Used to check contents upon arrival.
    • Invoice: The bill requesting payment.

Inventory Calculations (Math Tip)

When evaluating bulk discounts, use the "Find the tier, then the unit" method.

  1. Determine the tier: Does the order size qualify for the discount price?
  2. Calculate Total Cost: Multiply the number of boxes by the price per box.
  3. Find Unit Cost: Divide the Total Cost by the Total Number of Units (e.g., vials).

3. Organizational Tools: The Tickler File

The Tickler File is a critical tool for managing office workflow and follow-up.

  • What is it? A chronological filing system (43 folders: 12 months + 31 days).
  • Purpose: To remind staff of time-sensitive tasks or future appointments.
  • Exam Scenario: If a question asks how to ensure a patient returns for an annual screening (like a mammogram) next year, the answer is the Tickler File.

Modern Equivalent: In EHR systems, this function is replaced by "Health Maintenance Alerts" or electronic task lists.


4. Follow-Up Communication

Effective follow-up ensures continuity of care, but must be HIPAA compliant.

Protocols

  • Voicemail: Leave only your name, office name, and callback number. NEVER leave clinical results or details on a voicemail.
  • Test Results: MAs can report normal results if directed. Abnormal results require a provider or nurse; MAs should never interpret results for a patient.
  • Appointment Confirmation: Usually done 24-48 hours in advance to reduce no-shows.

5. Office Environment & Policies

The Policy & Procedure Manual

  • P&P Manual: Contains all office rules and clinical steps. It is the primary reference for how to do the job.
  • Educating Patients on Policy: If a patient asks about the office's billing or payment policies, the most appropriate action is to provide a copy of the relevant section of the office policy manual. This avoids miscommunication and provides written proof.

Reception Area

  • Reading Materials: Should be general interest (magazines). Avoid technical medical journals, which can confuse patients.
