Overview
Modern practices rely on integrated software systems. The Practice Management System (PMS) handles the business side, while the Patient Portal connects the patient to that data. This guide covers the functions, hardware, and user roles for these technologies.
1. Core Systems: PMS vs. EHR

- Meaningful Use: A standard requiring providers to show they are using EHR systems in ways that can be measured significantly in both quantity and quality (e.g., improving safety, efficiency, and coordination of care).
Note: Most modern systems integrate these two, allowing data to flow between them.
2. Practice Management System Functions
- Registration: Accurate entry of demographics and insurance is critical. "Garbage In, Garbage Out" means bad data leads to claim denials.
- Scheduling: Uses templates for different visit types.
- Revenue Cycle: Handles Charge Capture (Superbill) -> Claim Creation -> Payment Posting.
Technology & Hardware
- EDI (Electronic Data Interchange): The computer-to-computer exchange of business docs (claims). It is the standard for billing.
- Modem: The hardware required to connect a computer to a network/internet to enable EDI. Without a modem, you cannot exchange data electronically.
3. Patient Portals
A Patient Portal is a secure, 24/7 website allowing patients to access their health info.
Core Functions (The 4 A's)
- Appointments: Schedule or cancel visits.
- Access Records: View lab results, immunizations, and summaries.
- Ask Questions: Secure HIPAA-compliant messaging for non-urgent issues.
- Account: Input demographics (history/insurance) and pay bills.
Exam Hot Spot: The portal is the primary tool for patients to input their own demographic info remotely.
The MA's Role
- Activation: Verify identity (2 identifiers) before generating an access code.
- Education: Teach patients how to use it and troubleshoot basic issues.
- Differentiation: Remember, the Portal is for the Patient; the EHR is for the Staff.
